Position Title: Secretary
Employment Date: June 2017

Assignments: Assist high-ranking Japanese diplomat to cover the followings but not limited to;

• Providing secretarial support including daily schedule management, appointments arrangement,
phone calls and email screening, documents processing and filing,
• Translation from English into Arabic and vice versa,
• Drafting and preparing miscellaneous official correspondences, documents, and other office work,
• Communicating, coordinating and following-up with governmental bodies, public and private
institutions on a wide variety of aspects,
• Maintaining and updating communications database,
• Undertaking all the formalities and official procedures relating to the Embassy’s logistical affairs
and operations (customs and cargo clearance, permissions, etc…)
• Carrying out a day-to-day operations of the HR functions and duties and handle the staff members’
requests regarding human resources issues and proceedings (Visas, IDs, residence permits, driving license, cars registration, etc…)
• Assisting, networking and liaising with colleagues across the organization departments and divisions
• Preparing occasional reports, summaries and memos on a variety of issues when necessary,
• Providing occasional assistance during Embassy’s functions and events.

Qualification:
• University degree
• Native Arabic speaker, with excellent command of written and spoken English and Arabic.
• At least 3 years of experience as a secretary in related fields
• Advanced computer operation skills (Microsoft Word, Excel, Power Point and Outlook).
• Ability to work efficiently under time constraint and work pressure in a multi-cultural environment with self-motivation.
• Proactive with excellent communication skills
• Eligible for employment with transferable sponsorship under Qatari laws and regulations.
