Description

An Administrative & Logistics Officer will act as the point of contact for all employees, providing administrative support and managing their queries. Main duties include managing office stock, preparing regular reports (e.g. expenses and office budgets) and organizing company records. Able to ensure our administrative activities run smoothly on a daily and long-term basis. He/She must ensure that all aspects of a logistics team, such as shipping, warehousing and procurement, are working together to fill orders and deliver materials on a timely basis.

RESPONSIBILITIES
1. Preparing travel arrangements for office staff and managers; overseeing and preparing expense reports and budgets
2. Coordinating building and maintenance issues for general repair (heating and air conditioning, security, etc.) and updating (carpet cleaning, painting, etc.).
3. Organizing special functions and social events
4. Assist office staff with product customs requirements, accounts payables, accounts receivables and any other related task.
5. Purchasing computers, printers, supplies, and other equipment
6. Monitoring incoming and outgoing mail; signing for packages from USPS, FedEx or UPS; receiving mail and packages from couriers and delivering to proper recipient
Preparing correspondence, documentation, or presentation materials
8. Answers phone inquiries and direct calls
9. Maintain and update company databases
10. Supporting department managers and Staff with administrative or clerical support
11. Organize a filing system for important and confidential company documents
12. Answer queries by employees and clients
13. Update office policies & procedures as needed
14. Maintain a company calendar, schedule appointments, book meetings, etc.
15. Distribute and store correspondence (e.g. letters, emails and packages)
16. Prepare reports and presentations with statistical data, as assigned
17. Arrange travel and accommodations
18. Schedule in-house and external events
19. Coordinate logistics activities related to procurement, funding, substantive units and humanitarian affairs.
20. Develop logistics along with support plans, budget requirements and deployment timelines for new operations.
21. Responsible for maintaining all the logistic or transportation related records in any organization.
22. Must be accurate in terms of data and record management and should also have good negotiation skills to fetch the best transportation charges for their organization.
23. Responsible for tracking, receiving, and stocking all items ordered
24. Ensure materials are appropriately stored.
